Job Responsibilities

  • Provide administrative support to HR and Production teams for a high-volume direct labor (DL) workforce
  • Review DL timesheets for accuracy and support supervisors with timely approvals
  • Track attendance, overtime, and manpower trends, highlighting discrepancies for follow-up
  • Maintain and update mandatory safety, HR, and operations training records
  • Register employees for training, coordinate schedules, and manage training certificates and audit files
  • Assist with onboarding logistics including PPE issuance, access cards, and locker assignments
  • Support new joiners in transitioning smoothly and navigating HR or operations systems
  • Handle HR system enquiries from DL employees and escalate issues when required
  • Prepare onboarding packs, HR forms, and templates for supervisors and new employees
  • Coordinate skip-level and engagement meetings with HRBP, including scheduling and follow-up notes
  • Support engagement activities, welfare events, surveys, and invoice or claims processing
  • Prepare manpower, attendance, and training reports for HR, supervisors, and HODs
  • Maintain audit-ready documentation and assist with ad-hoc projects as assigned

Job Requirements

  • Diploma, Higher NITEC, or equivalent qualification in Business Administration, HR, Operations, or related fields
  • Minimum 2 years of experience in production administration, HR operations, training administration, or recruitment support
  • Experience in a manufacturing environment or with shift-based/DL workforce is preferred
  • Ability to manage multiple deadlines in a fast-paced environment
  • Strong sense of responsibility and confidentiality when handling sensitive data

Required Skills

  • Strong attention to detail and accuracy in high-volume data handling
  • Good communication and coordination skills across frontline employees, supervisors, and HR teams
  • Proficiency in MS Excel, Microsoft Teams, Outlook, and basic reporting tools
  • Organisational and time-management skills
  • Customer service mindset with a focus on employee support

Desired Knowledge

  • Familiarity with time & attendance systems, HRIS, LMS, or training management platforms
  • Understanding of HR operations, training compliance, and audit requirements
  • Knowledge of manufacturing or production workforce administration
  • Awareness of confidentiality standards for personnel and payroll information
