Job Responsibilities
The Receptionist will be based at Northland Power’s Toronto mid-town office and will serve as a central point of contact for staff, visitors, and external partners. Key responsibilities include:
- Greeting all visitors, arranging transportation, and ensuring compliance with sign-in and sign-out procedures
- Managing employee access cards and maintaining the office scheduling app for the hybrid work setup
- Handling incoming phone calls and directing messages to the appropriate departments or individuals
- Receiving, sorting, scanning, and coordinating courier services for incoming and outgoing mail
- Booking meeting rooms and coordinating meeting logistics, including catering requests
- Ensuring reception, meeting rooms, kitchens, and common areas are clean, organized, and well-maintained
- Managing office supplies and consumables such as stationery, coffee, and tea
- Coordinating building maintenance requests and supervising external service providers when required
- Supporting employee onboarding in collaboration with IT and HR teams
- Assisting with ad-hoc projects and providing general administrative support
- Occasionally working after hours to support board meetings or special events
Requirements
To be successful in this role, candidates should meet the following requirements:
- More than 5 years of experience in front desk management and clerical duties
- At least 2 years of experience in office or facilities administration or management
- Strong working knowledge of Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint
